This report helps communities to assess whether clients are being assessed with the VI-SPDAT on time.

Many communities have a policy related to at which point a VI-SPDAT should be completed for their clients: upon first shelter book-in, or after they've been homeless for two weeks, for example. This report includes five different potential milestones that you can use to compare against your policy and see if it is being followed.

Using this report, you can narrow your parameters to only look at one service provider, or you run the report for a period before implementing a new policy and then it again for a period after implementing your policy, to see if it's made a difference.

What's included?

This 18+ page report measures when the VI-SPDAT was completed for clients, relative to the milestones of:

  • client file creation,
  • providing explicit consent,
  • providing coordinated access consent,
  • first shelter book-in, and
  • first becoming homeless.

The report shows clients served by specific service providers within a specific date range.

What is timeliness?

Timeliness is a dimension of data quality that describes how promptly your data is being entered into the database. Timely data entry ensures that the data within the database is relevant. If the data entry is delayed by too much, the data may no longer be useful or relevant for users who require the data.

For example, if an intake has been completed but not entered into the database yet, and the client tries to access another service, a staff person may have to complete an intake a second time because they don't have access to the first intake. Poor timeliness can cost additional work in the future. Similarly, if an assessment has been done but not entered into the database yet, the client may miss an opportunity to be considered for a housing resource. Untimely data can have negative impacts on clients. Timely data entry also reduces errors, since staff don't have to rely on their memory, or on handwritten notes.

Timeliness is a dimension of data quality that many communities focus on in the early stages. For many staff and partner agencies, they may not be accustomed to documenting things as they occur (or soon after), so timeliness may be an area to focus on for a period soon after launch.

This report should run on any version of HIFIS version 4.0.57 and higher.

This report will be maintained into the foreseeable future. If a software update causes it to stop working, or if we find an error, we'll update the file and let you know there's a new version available, at no additional cost to you.

The run-time varies depending on how much data is in your database, and how long a date range and how many service providers you select when running the report. However, we have tested the report with large data volumes and it runs quickly and efficiently.
