To help you find out if you’re on the right track, ACRE Consulting and Built for Zero Canada have partnered to create the HIFIS 4 Health Check. This is a high-level view of your database with one key principle in mind: the better the data going in to HIFIS, the better the data will be coming out, which will result in HIFIS having greater value to the community, which will result in people wanting to use it more frequently, which means you will have better data going in, even better data coming out, and even more value to the community.

Ending Homelessness Through Data

The HIFIS 4 Health Check is designed to help communities who are using HIFIS 4 to use some specific indicators to get an overview of how the software is working locally. Because lots of communities might use or focus on different parts of the software, we are strategically looking at the software from a very high level. There are 10 areas that are covered in this check-up:

  9. User Accounts
  10. Support

How does it work?

Step 1: Questionnaire

The first step in the process is for you to complete a questionnaire that asks you some high-level questions about your system and community, your capacity and how you are supporting HIFIS 4 locally. This step should take 5-10 minutes to complete.

Step 2: Data Extraction

After you’ve completed Step 1, you will be asked to upload and run a report, then save a copy of the output and send that to us. This report contains anonymous* information about things like duplicated and anonymous clients, timeliness and completeness of data entry, and how frequently your users are logging in to HIFIS 4. This step should take less than 5 minutes to complete.

* This report also generates a list of 5 random (current) users, which is the only identifying information in this whole process. These users will be used by you in Step 3, but we do not specifically need their names for this HIFIS 4 Health Check. If you wish, you can redact the names from the output before sending it to us.

Step 3: Training Questionnaire

This is the final step for you. You’ll use the 5 users generated in Step 2 and investigate the training they received, and answer a few other questions about your training processes. This step can be very quick if you have excellent training records, but it could take you a little longer than the other steps as you will need to look up some information.

Step 4: Results

Finally, you sit back and wait as we put together a report card for you, highlighting areas where you are doing well and areas where you could improve. Optionally, you can schedule a follow-up appointment with us to discuss the results.
